Outdoor Training Policy and Procedures

​

Purpose: This document outlines the Policies and Procedures governing the operations of Top2Toe Fitness for outdoor training programs and activities.

1. Safety and Risk Management

​

1.1. Participant Safety

  • All participants must follow safety instructions provided by instructors.

  • Equipment will be inspected regularly and maintained in good condition.

  • Instructors are responsible for assessing and mitigating risks during sessions and activities.

 

1.2. Emergency Response

  • Emergency contact information for participants and staff will be readily available.

  • Instructors are trained in First Aid/CPR and Emergency procedures.

  • Evacuation plans and assembly points are established for each location.

 

2. Participant Conduct

2.1. Code of Conduct

  • All participants are expected to behave respectfully towards instructors, staff, and fellow               participants.

  • Alcohol and illegal substances are strictly prohibited during activities.

 

2.2. Health and Fitness

  • Participants are responsible for disclosing any medical conditions or allergies that may affect their participation.

  • All Participants must complete an Adult Pre-Exercise Screening Tool. If any questions are answered “Yes” Guidance and Clearance must be sought from a GP. 

  • Instructors will assess a participant's physical fitness and recommend alternative activities if necessary.

 

3. Bookings, Payments, Make Ups and School Holiday Programs

 

3.1. Bookings

  • Participants must make bookings in advance through Top2Toe Fitness online booking system or by online invoice on request.

  • Full payment or a deposit is required to secure a Term Booking. 

  • If you miss a session it can be completed as a make up within that term but cannot be carried over to the next term.    

  • School Holiday Sessions run as a separate program to Term Programs and are run based on need and numbers of 4 or more. It is a flat fee per session and discounts do not apply as per the 10 week Term Program.

 

3.2. Cancellation Policy

  • Cancellations for Personal Training 1:1 or semi-private sessions must be made within a 24 hours before the scheduled activity otherwise full payment incured. 

  • Full Payment needs to be made online when session is booked to prevent No-shows and late cancellations.

 

4. Environmental Responsibility

 

4.1. Leave No Trace

  • Participants are expected to respect natural environments and follow "Leave No Trace" principles such as litter in any of the locations used for training purposes.

 

5. Complaints and Feedback

 

5.1. Complaints Procedure

  • Participants may submit complaints or feedback to Top2Toe Fitness by phone, email, face to face or through the website www.top2toefitness.com.au

  • We will investigate and respond to complaints within a reasonable timeframe.

 

5.2. Continuous Improvement

  • Feedback will be used to improve our services and safety measures.

6. Conclusion

This policy and procedures document serves as a framework for maintaining safety, quality, and professionalism in all outdoor training activities provided by Top2toe Fitness. All participants and staff are expected to adhere to these guidelines for a successful and enjoyable experience.
